We are seeking a proactive and detail-oriented Administrator with a strong background in Dubai
real estate industry
to manage and coordinate all administrative operations related to
property development, broker support, and regulatory documentation
. The ideal candidate will bring experience in handling DLD/RERA submissions, project documentation, and CRM coordination, ensuring efficient communication across departments and with external stakeholders.
Key Responsibilities
Documentation & Records Management
Maintain organized digital and physical records of project files, contracts, permits, drawings, correspondence, and NOCs.
Ensure timely retrieval, secure storage, and compliance of sensitive documents with regulatory requirements.
Create and maintain project folders, trackers, and logs for development timelines and key milestones.
Registration onboarding process from Signing the SPAs to issuance of initial sales contract and title deed
Client & Broker Support
Act as the key liaison for post-sale client engagement, handling inquiries related to contracts, payments, and property documents.
Coordinate with brokers, clients, and internal teams to ensure accurate and timely processing of deals.
Prepare and submit client-related documents to authorities including
DLD, RERA, DEWA, and Dubai Municipality
.
Government & Regulatory Coordination
Prepare and submit documentation for approvals, permits, and NOCs with government and semi-government entities.
Track submission statuses and proactively follow up on pending approvals.
Ensure all real estate transactions and processes meet UAE legal and regulatory standards.
Administrative & Operational Support
Assist Development Managers with report formatting, presentation preparation, meeting scheduling, and drafting minutes of meeting (MoMs).
Generate regular reports on project progress, authority approvals, NOC issuance, and documentation KPIs.
Input and update project details, contract statuses, and submission logs in internal systems or development portals.
Internal Coordination
Liaise with Legal, Finance, Sales, and Procurement departments to streamline documentation flow and ensure compliance.
Schedule and coordinate meetings, site visits, and project presentations with consultants and stakeholders.
Support the coordination and preparation of marketing and project-related documents such as masterplans, brochures, and handouts.
Office Administration
Monitor and replenish office supply inventory specific to development operations.
Manage document delivery, courier coordination, and material distribution to project sites or internal teams.
Handle incoming calls, emails, and internal communication in a professional and confidential manner.
Education
Bachelor's Degree in Business Administration, Real Estate, or a related field
Experience
Minimum 10 years, 15+ years in administrative or coordination roles within the Dubai real estate or property development industry
Regulatory Knowledge
Familiar with DLD, RERA, DEWA, and Dubai Municipality processes
Technical Skills
MS Office Suite (Excel, PowerPoint, Word), CRM systems, document control platforms
Language
Fluent in English (written and verbal); Arabic is an advantage
