Administrative Coordinator Flight Operations

Job Description

MAIN OBJECTIVE OF ROLE: To provide administrative support for Flight Operations, performs data entry, and ensures fleet operations documentation is updated and current, and acts as a key contact for flight crew and the Operations division, processing Civil Aviation Authority licensing and pilot exam applications. KEY RESPONSIBILITIES:
Enters and updates information into administrative systems such as Electronic Flight Operations System (EFOS), Airline Information Management System (AIMS), and Excel, ensuring data integrity and security. Organizes, files, and maintains administrative documents and records, ensuring accuracy, accessibility and compliance with company policies as well as regulatory requirements. Prepares, distributes, and presents regular and ad-hoc reports for internal stakeholders and management. Schedules, organizes, and coordinates meetings, including preparing agendas, taking minutes, and distributing meeting notes. Manages and responds to internal and external communications, including emails and phone calls, and provide general administrative support to Flight Operations departments. Orders, stocks, and manages inventory of office supplies and administrative materials needed for daily operations. Coordinates and manages scheduling for departmental activities, including meetings, training sessions, and appointments. Maintains accurate records of all administrative activities, including tracking and updating status reports and logs. Identifies and recommends improvements to administrative processes to enhance efficiency and effectiveness. Monitors and ensures compliance with administrative procedures, company policies, and regulatory requirements. Coordinates travel arrangements and itineraries for staff members as required. Maintains a safe working environment in alignment with flydubai's safety protocols and industry standards. Assists in the development and execution of training programs by forwarding relevant information and feedback on candidates to Fleet Management. Supports various Flight Operations projects by providing administrative assistance, coordinating tasks, and providing data and insights to optimize resource use and operational efficiency.

QUALIFICATIONS:
High School Diploma Degree in Business administration related discipline preferred. Fluent in English (other languages an advantage) Administration experience preferred. 6 months of airline administration experience required for candidates with a relevant degree. EFOS, AIMS and MS Excel Years with qualifications: 2 - 4 years UAE Driver License an advantage.

ISR Requirements: Reads and complies with the ISR policies of the Company and diligently reports any weakness or incidents to the respective Line Manager or the Information Security team.
