Key Responsibilities

  • Provide full administrative and secretarial support to senior managers, including calendar management, meeting coordination, travel arrangements, and document preparation
  • Prepare agendas, circulate meeting materials, record minutes, and track action items for departmental meetings and forums
  • Screen, prioritize, and route emails, calls, and correspondence to ensure timely responses and follow-ups
  • Assist in preparing departmental reports, KPI reviews, budget inputs, and performance summaries for management review
  • Create, maintain, and update databases for internal and external stakeholders while ensuring accurate document archiving
  • Review departmental documentation for accuracy, compliance with company standards, and adherence to procedures
  • Act as a coordination point between internal teams, external partners, clients, and visitors
  • Track departmental projects, update progress logs, and support timely completion of deliverables
  • Support organization of special projects, events, and internal initiatives
Ideal Profile
  • Bachelor's degree in business administration, management, commerce, or a related discipline
  • Minimum three years of experience in administrative, secretarial, or coordination roles within a large organization
  • Strong organizational, communication, and stakeholder coordination skills
  • Ability to manage confidential information with accuracy and discretion
  • Experience working in structured, policy-driven corporate environments
Skills Set
  • Advanced MS Office skills including Word, Excel, PowerPoint, and Outlook
  • Working knowledge of Oracle Fusion, MAXIMO, or similar enterprise systems
  • Report preparation, data management, and documentation control
  • Office administration and coordination
  • Communication skills in English; Arabic language skills are an advantage
