Manage day-to-day administrative operations for attorneys and legal staff.
Answer phone calls, route inquiries, and take accurate messages.
Schedule meetings, court dates, and appointments.
Maintain and organize office files--both electronic and physical.
Document Preparation and Management
Prepare legal documents.
Draft letters, memos, and other correspondence.
Compiling Client Documents
Collect, organize, and compile required documents from clients for case preparation.
Ensure completeness and accuracy of all submitted documents.
File and categorize documents systematically for attorney review and court submission.
Calendar and Deadline Management
Track legal deadlines, hearings, and filing dates using calendaring systems.
Send reminders and ensure attorneys are prepared with required materials.
Client Communication
Greet clients and visitors in a professional manner.
Handle routine client inquiries and provide updates when appropriate.
Maintain confidentiality and professionalism in all interactions.
Office Coordination
Help organize staff meetings, team events, or continuing legal education sessions.
Requirements:
Proven experience in administrative or secretarial roles.
Strong computer skills
, including Microsoft Office (Word, Excel, Outlook) and document formatting
Good organizational and communication skills
Ability to handle sensitive information with discretion
Detail-oriented and proactive
