Administrative Assistant / Receptionist
Location: Dubai, UAE
Work Hours: 9:00 AM - 6:00 PM, 5 days a week
Salary Range: AED 5,000 - AED 6,000 per month (commensurate with experience)
About the Role
We are seeking a professional, friendly, and organized Administrative Assistant / Receptionist to be the first point of contact for our company. This role is crucial in creating a positive impression for our clients and visitors while providing efficient administrative support to ensure the smooth day-to-day operation of our office. The ideal candidate is a proactive multitasker with excellent communication skills.
Key Responsibilities
Front Desk & Reception:

  • Greet visitors, clients, and employees in a warm and professional manner.
  • Manage the reception area, ensuring it is tidy and presentable.
  • Answer, screen, and forward incoming phone calls promptly and courteously.
  • Receive, sort, and distribute daily mail/deliveries.
Administrative Support:
  • Provide general administrative support to teams (e.g., scheduling, photocopying, filing, data entry).
  • Assist in the preparation of reports, presentations, and correspondence using MS Office.
  • Maintain office filing and record-keeping systems, both electronic and physical.
  • Coordinate meetings and manage conference room bookings.
  • Assist with travel arrangements and expense reporting as needed.
  • Monitor and manage office supplies inventory; place orders when necessary.
Communication & Coordination:
  • Serve as a clear communication link between staff, clients, and external partners.
  • Handle basic inquiries and direct them to the appropriate person/department.
  • Ensure effective communication of office policies and procedures to staff.
Requirements & Qualifications
  • Proven Experience: Minimum of 1-2 years of experience in an administrative, front office, or receptionist role.
  • Technical Skills: High proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
  • Soft Skills:
  • Exceptional verbal and written communication skills in English.
  • Strong organizational and time-management abilities with a keen attention to detail.
  • Professional demeanor and a positive, customer-service-oriented attitude.
  • Ability to handle multiple tasks simultaneously and work effectively under pressure.
  • Personal Attributes: Reliable, punctual, presentable, and a true team player.
Preferred Qualifications (Advantageous)
  • Proficiency in Arabic language.
  • Candidates with familiarity with the regional (UAE/GCC) business environment.
