We are seeking a highly organized Administrative Assistant to support our Facilities Management Department at a leading real estate company. The ideal candidate will have experience in administrative coordination, especially with technicians, supervisors, and internal departments, and will play a key role in ensuring smooth documentation and communication with tenants.
Key Responsibilities:
Coordinate daily activities between technicians, site supervisors, and the head office.
Assist the Facilities Manager in maintaining service records, work orders, and maintenance logs.
Maintain and update internal databases, vendor contracts, and documentation.
Communicate professionally with tenants regarding maintenance schedules, complaints, and updates.
Track and follow up on work requests, materials, and procurement orders.
Prepare reports, meeting minutes, and correspondence in both English and Arabic.
Support scheduling of maintenance tasks, team meetings, and site visits.
Ensure compliance with company procedures and document control standards.
Requirements:
Proven experience as an Administrative Assistant or Coordinator in Facilities Management or Real Estate.
Fluent in both English and Arabic (spoken and written).
Strong communication and interpersonal skills.
Proficient in MS Office (Word, Excel, Outlook).
Excellent organizational and time-management skills.
Ability to handle confidential information with integrity.
High school diploma or equivalent; additional administrative or facility management training is a plus.
