Job Summary:
We are seeking a highly efficient and proactive Administrative Assistant to be the backbone of our daily office operations. The ideal candidate will be the first point of contact for our clients and healthcare professionals, providing essential administrative support to ensure the smooth running of our Garhoud office. This role is perfect for a detail-oriented individual with excellent communication skills, preferably with a background in the healthcare sector.
Key Responsibilities:
Office Administration:

  • Manage the front desk, greet visitors, and maintain a professional and welcoming office environment.
  • Handle day-to-day office operations, including managing office supplies, mail, and couriers.
  • Coordinate meetings, schedule appointments, and prepare meeting rooms as needed.
  • Maintain and organize office filing systems, both electronic and physical.
Communication Management:
  • Answer, screen, and direct incoming phone calls in a polite and professional manner.
  • Manage the main company email inbox, responding to inquiries and forwarding messages to the appropriate staff members.
  • Serve as a liaison between patients, families, nurses, and management.
Administrative Support:
  • Assist with the preparation of reports, presentations, and correspondence.
  • Support the HR department with basic tasks such as scheduling interviews and onboarding new staff.
  • Help coordinate staff schedules and liaise with the nursing team regarding appointments and updates.
  • Ensure confidentiality and security of all patient and employee records.
Qualifications and Skills:
Essential:
  • High school diploma required; additional certification in Office Administration is a plus.
  • Proven experience as an Administrative Assistant, Office Assistant, or similar role.
  • Excellent verbal and written communication skills in English.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Exceptional organizational and time-management skills.
  • Ability to multitask and prioritize work effectively in a fast-paced environment.
  • Professional demeanor with a customer-service orientation.
Preferred:
  • Healthcare experience is highly preferred. Familiarity with medical terminology, clinic/hospital workflows, or home healthcare operations is a significant advantage.
  • Experience with electronic medical records (EMR) or patient management software.
  • Knowledge of Arabic or other languages is a plus.
