Admin Executive

Position Overview:
We are looking for an experienced Admin Executive with substantial UAE experience. The ideal candidate will be the backbone of our day-to-day administrative and operational functions, ensuring smooth and efficient office operations. You will play a critical role in supporting multiple departments within the group, requiring excellent multitasking abilities, sharp attention to detail, and a thorough understanding of business practices in the UAE.
Key Responsibilities:
Administrative Management:

  • Manage and coordinate executive schedules, appointments, travel arrangements, and meetings.
  • Prepare, edit, and format correspondence, communications, presentations, and other documents.
  • Maintain an efficient filing system (both electronic and physical) for easy retrieval of documents.
  • Handle incoming and outgoing communication, including mail, email, and phone calls, with professionalism.
  • Ensure the office environment is well-maintained and supplies are adequately stocked.
Operational Support:
  • Provide comprehensive administrative support to various departments within the group of companies.
  • Assist in the coordination of inter-departmental activities and events.
  • Support in basic HR administrative tasks such as maintaining employee records, leave tracking, and onboarding support for new hires.
  • Liaise with vendors, suppliers, and building management as needed.
  • Assist in the preparation of operational reports and summaries.
Compliance and Documentation:
  • Ensure all administrative processes comply with company policies and UAE regulations.
  • Assist in the renewal of company licenses, visas, and other government-related documents (experience with Tas-HEEL, PRO portals, etc., is a plus).
  • Maintain strict confidentiality of all sensitive company and employee information.
Qualifications and Experience:
  • Mandatory: Minimum of 4 years of proven experience as an Admin Executive, Administrative Assistant, or similar role within the UAE.
  • Preferred: Experience working in a group of companies or a multi-departmental organization.
  • Technical Skills: Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) is essential. Must be able to create high-quality presentations and detailed spreadsheets.
  • Skills:
  • Exceptional organizational and time-management skills.
  • Impeccable attention to detail and a commitment to accuracy.
  • Strong verbal and written communication skills in English (Arabic is an advantage).
  • Ability to work independently, prioritize tasks, and solve problems proactively.
  • High level of discretion and professionalism.
  • Availability: Must be currently available in the UAE and able to join on short notice.
