The Accounts & Administration Officer will support daily office operations, HR documentation, accounting functions, and company compliance activities. This role requires strong organizational skills, attention to detail, and the ability to coordinate across departments to ensure smooth administrative, HR, and finance processes.
Key Responsibilities
1. Administration Responsibilities
Daily Tasks
Maintain daily project-wise attendance for Manpower staff.
Manage employee records (physical files, passports, documents).
Prepare HR-related letters (salary certificates, transfers, employment letters).
Coordinate issuance of site passes.
Process staff expense claims and obtain approvals.
Monthly & Periodic Tasks
Update the Employee Masterfile.
Track and remind for renewals (passports, visas, labour cards, insurance, licenses, Ejari, labour camp).
Prepare monthly project-wise manpower reports.
Prepare vehicle attendance summaries and DM disposal reports with cost allocation.
Maintain and update inventory records.
2. Accounts & Finance Responsibilities
Daily Accounting Tasks
Manage petty cash and record entries in Xero.
Issue and process Local Purchase Orders (LPOs).
Record supplier bills, employee expenses, and petty cash payments.
Prepare and issue payment certificates.
Monthly Accounting Tasks
Prepare monthly petty cash reports.
Prepare monthly project-wise manpower summaries.
Coordinate with the finance team for month-end reporting and supporting documents.
Skills & Qualifications
Bachelor's degree in Accounting, Business Administration, HR, or a related field.
2-4 years of experience in a combined HR, Admin, or Accounts role.
Proficiency in MS Office; experience using Xero or similar accounting software preferred.
Strong communication, coordination, and organizational skills.
High attention to detail and accuracy in documentation.
Ability to handle confidential information with professionalism.
