Job Description

General Description The Women in Medicine Coordinator will facilitate the implementation of the Women in Medicine initiative project in close coordination with the country implementation teams, external partners, and designated Operation Smile departments, specifically the Women in Medicine Lead Facilitation Team. Increasing gender equity in the health professions and healthcare leadership to promote health equity is central to Operation Smile's health systems strengthening work. Current project activities will include Women-Led Surgical Outreach Programs, Educational Opportunities for Women in Healthcare Training and Leadership, Thought Leadership on Advancement of Women in Global Medicine, and Gender and Health Equity Innovation & Research. Additionally, the Project Coordinator will help coordinate and organize earlier project phases into implementation guides to support larger scaling of project interventions, specifically the implementation of a human-centered design process currently developing new pilot initiatives which could include the coordination of scholarships, centralization of a resource clearinghouse for opportunities for women in health care, and fellowship management in cooperation with in-country teams in LAC and Sub-Saharan Africa.

Project coordination includes but is not limited to: Works independently performing a wide range of complex and confidential administrative and clerical duties to support program/event/conference/forum/business unit. Communicates with and provides services to a wide range of internal and external contacts. Anticipates and resolves problems, updates supervisor on status of projects. Ability to manage timing and resources in an organized manner, while ensuring the continuity of projects. May oversee work students, casuals, and temps.

General Summary of Duties

The Coordinator is responsible for:

Project Implementation and Scaling Support (30%) Responsible for development of the project workplans and ensuring all activities are implemented in accordance with timeline across countries. Coordinate project progress and performance through regular team meetings. Ensure minutes are being properly collected, reviewed, and analyzed on a timely basis and shared with the team. Work with country-level M&E teams to ensure data quality, consistency, and timeliness. Manage project team personnel, centrally, and coordinate execution of their respective activities. Support scaling of current and past project interventions through creation of implementation guides for use across Operation Smile partner sites. Identify interventions or resources with high potential for broader use, based on outcomes and impact Lead multi-functional teams to develop guides and resource packages to support implementation of interventions / applications of resources in other settings Provide consultative input for implementations being scaled to new areas Identify needs for internal education and training needed to support Women in Medicine activities and other long-term partnerships; support professional development of project teams Support in creation of sustainability strategies for the project. Disseminate reports and updates within Operation Smile to communicate strategic overlap with other health system strengthening initiatives.

External Partnership and Collaboration Facilitation (20%) Maintain relationships and communication with key project partners . Ensure project updates are communicated monthly and schedule calls quarterly with key partners to ensure they feel supported and understand relevant needs. Identify areas of cross-over between external partners and project sites. Support country teams, Global Surgery Fellows, and other researchers in the development of abstracts, articles, and presentations based on project data Identify opportunities for co-authorship or other collaboration with partner organizations Based on interest, this role could have opportunities for lead authorship With brand and communications teams, highlight the work of Women in Medicine through Operation Smile web pieces and social media. Works closely with the OSI central project team to share relevant project updates, support needs, etc.

Business Operations and Communication (50%) Coordinates bi-weekly (or: monthly, may be tbd based on pilots) project meetings for each pilot country to review activities, challenges, areas of support, budget, etc. Invite relevant stakeholders to meetings on an as needed basis. Coordinates bi-weekly WIM Working Group meetings for each stakeholder to review activities, challenges, areas of support, budget, etc. Topics covered - current WIM events, WIM communications, feedback for review, Etc. Ensure minutes are recorded and that responsibilities are delegated for next steps Support the payment of invoices to key project vendors and partners as needed. Maintain comprehensive project documentation for reporting and replication purposes. Ensure that practices are in accordance with legal regulations outlined in the grant agreement and that any new team members understand these policies and protocols.

Qualifications Experience Required (Education/Work): Bachelor's degree in business, non-profit management, public health, international relations, development, or related fields, or equivalent experience Medical field exposure, health management experience, and/or project management training ideal

Characteristics/Skills Required: Excellent oral and written English and communication skills required. Additional language skills beneficial, particularly French or Spanish. Occasional ability to work off hours (on-call) to work with colleagues in East African and Latin American time zones, sometimes responding to calls or e-mails early in the morning or late at night Excellent organization and time management skills with the ability to prioritize requests efficiently and effectively. Approachable personality with ability to manage stress and communicate needs appropriately. Motivation and proven ability to lead, coordinate, and facilitate projects and teams. Diplomacy, tact, and cultural sensitivity. Willingness to travel both domestically and internationally on an as needed basis.
