Job Title: Enrichment Coordinator Administrator Department: Marketing & Admissions/Sports Start Date: Immediate Reports to: Head of Marketing & Admissions/Head of Sports Job Scope: The Physical Education & Outdoor Education Enrichment Coordinator will be responsible for assisting the Head of Sport in supporting and coordinating the provision of Sports and Outdoor Education and After School Activities and Events for the school. Occasional participation in outreach or promotional activities may be required, but every effort will be made to ensure that this request is reasonable and shared equitably amongst all staff. Main Duties and Responsibilities Sporting Events/School Sports Teams:
Support the Head of Sport in scheduling of team practice and fixture arrangements and performance events
Accompany students to and from both in and out of hours scheduled sporting fixtures, performance events
Provide administration support with booking busses for events and fixtures, updating calendars, event support, support social media
Co-ordinate with the academic teams regarding fixtures, events, logistics etc
Establish event criteria and requirements for events and fixtures
Manage all pre-event planning and co-ordination with relevant teams, school clubs and heads of section
Ensure that all events meet health and safety requirements.
Assist in the upkeep of contact records, including student, staff and other schools contact information
Photographic support for events
Liaise with facilities dept as required
Overseas and Regional Overnight Trips:
Assist in arranging travel and accommodation for local and international trips
Assist in managing bookings, budgets, communications, and inventories
Assist in scheduling and planning activity for optimum participation
Extracurricular Activities and Performances:
Support staff in the provision of extracurricular activities including the Duke of Edinburgh Award, clubs, and visits
Work with the school PE team and Stryx to prepare the ASA communication and list of activities
Liaise with the academic teams to ensure relevant staff are included as ASA leads
Maintain the ASA booking system in School Buddy, update and keep current the ASA handbook and other supporting documentation
Ensure no clashes in facility bookings across the school for ASAs, events and performances
Assist with the management of guest lists for school performances and special events, both at the school and at external venues
Process online ticket sales and assist with maintaining ticket sales lists and invitations
Assist in production and distribution of performance programmes within the Marketing Team
Financial:
Maintain monthly reports to verify ASA bus trips, rentals, and ASA revenues
Liaise with finance department regarding payments
General:
Assist with events including but not limited to room bookings, room arrangements and resources (whole school events, ASAs, holiday camps, sports fixtures & events)
Management of the sports and events calendar online
Updating of the sports fixtures and results online
Filter and respond to enquiries from participants and parents
General administrative support for the sports team, outdoor pursuit leads and performing arts leads
Support marketing department with yearbook and newsletters curating all aspects of sport, ASAs and trips content
Support the preparation of relevant paperwork, such as registers, event plans, risk assessments, checklists where required
Build, develop and maintain strong working relationships with students, parents and third-party providers
Ensure health and safety procedures and practices are in line with statutory and SISD policies
To be a First Aider
Follow all school staff policies and procedures, particularly with regard to safeguarding
Carry out general administration duties as directed by in sports dept or member of leadership team
Key Relationships Internal: Marketing & Admissions Team, PE team, Section Heads and Secretaries, Principal, Deputy Head of School (Teaching & Learning), Students, Teachers External: Parents, Regulators, Outside Agencies, ASA providers, Bus Providers, Other Schools Position Requirements Education: Degree in Administration or related subject Experience and skills:
Experience in an education environment is an advantage
Strong administration skills and experience
Strong customer experience focus
Strong IT skills
Strong communication skills, both verbal and in writing
