The Warranty Administrator is responsible for overseeing and processing warranty claims for automotive repairs and parts replacements. This role ensures compliance with manufacturer policies, coordinates with service and parts departments, and provides excellent customer service to resolve warranty-related inquiries and disputes. A strong understanding of automotive parts and service processes is crucial.
Key Responsibilities: Warranty Claims Management:
Review, prepare, and submit warranty claims to manufacturers and suppliers.
Verify the accuracy of repair orders and ensure compliance with warranty guidelines.
Track claim statuses and resolve rejected or unpaid claims.
Maintain detailed records of all warranty transactions and submissions.
Coordination with Service & Parts Departments:
Work closely with service advisors and technicians to gather accurate information on repairs.
Coordinate with the parts department to ensure correct parts are ordered and documented for warranty claims.
Support the diagnosis and validation of warranty-covered issues.
Customer Service:
Address customer inquiries related to warranties, repairs, and part replacements.
Explain warranty terms and conditions to customers in a clear and professional manner.
Assist in resolving customer complaints or escalations regarding warranty denials or delays.
Compliance & Documentation:
Ensure all warranty documentation meets manufacturer and dealership standards.
Keep up to date with manufacturer bulletins, warranty policies, and procedures.
Audit service records to ensure proper documentation is available for claims.
