Job Summary

We are seeking a detail-oriented and proactive Billing & Shipping Operations Executive to efficiently manage quotations, billing, and shipping activities. The ideal candidate should have logistics experience, strong analytical abilities, and a good understanding of finance-related processes to ensure cost optimization and accurate invoicing.

Key Responsibilities1. Billing & Invoicing

Prepare and process invoices for all shipping, warehousing, and VAS (Value-Added Services) jobs. Ensure accuracy in cost invoices for cargo stored in 3PL warehouses by verifying against the WMS system. Generate monthly storage invoices and share detailed reports with Shipping/Logistics Coordinators. Upload and maintain all billing-related supporting documents in the ERP system. Handle timely closure of open billing jobs and dockets.

2. Quotation & Contract Management

Prepare spot quotations and long-term contracts for clients in CRM/ERP systems. Compare quotations, evaluate pricing, and optimize costs prior to booking. Maintain and update the client contract database; ensure timely renewals. Conduct competitor analysis to support accurate and competitive pricing.

3. MIS Reporting & Analysis

Generate weekly and monthly MIS reports covering in-process, completed, and pending jobs. Share analytical reports with account handlers, finance, and management teams. Track freight and transport demand; analyze trends for informed decision-making. Provide detailed reports on top clients and system performance on a monthly/quarterly/annual basis.

4. Cross-Functional Support

Collaborate with finance, operations, and commercial teams to ensure process efficiency. Participate in company events and assist in preparing marketing content when required. Suggest process improvements and support management with commercial insights.

Qualifications & Skills

Bachelor's degree in Logistics, Commerce, Finance, or related field. Minimum 2 years of experience in logistics and shipping operations. Strong finance knowledge/background is highly preferred. Proficiency in ERP/CRM systems, invoicing, and documentation. Advanced MS Excel and reporting skills; knowledge of WMS systems is an advantage. Excellent organizational, analytical, and multitasking capabilities. Strong communication and teamwork skills. Ability to perform under pressure and meet deadlines.

Pay: AED4,000.00 - AED5,000.00 per month
