We are looking for a detail-oriented and proactive
Part-Time Vendor Coordinator
to support our PR and digital marketing team as we prepare for a major event taking place in May next year. The Vendor Coordinator will manage communication with multiple suppliers, oversee deliverables, and ensure smooth coordination between creative, production, and event teams.
Key Responsibilities
Act as the primary point of contact for all event and marketing vendors.
Coordinate deliverables with designers, production companies, photographers, videographers, printers, and venue teams.
Track project timelines and ensure all vendors meet deadlines related to the May event.
Support event logistics, including branding installations, AV setup, decor coordination, and service scheduling.
Review proposals, quotations, and contracts to ensure alignment with project requirements.
Maintain organized documentation including contracts, invoices, schedules, and communication logs.
Provide weekly updates and reports to internal teams.
Qualifications
Fluent in English (spoken and written).
Experience in vendor coordination, PR, events, or digital marketing preferred.
Strong organizational and time-management skills.
Excellent communication and stakeholder management abilities.
Proficient with Google Workspace or Microsoft Office.
Knowledge of digital marketing or creative production workflows is a plus.
Contract Details
Part-time role with flexible hours.
Hybrid or onsite work depending on project needs.
Contract runs until completion of the event in May.
