job Brief
The Transport Coordinator is responsible for coordinating deliveries, managing fleet operations, and ensuring the efficient movement of goods across the region.
Fleet Coordination:
Oversee the scheduling of regular fleet maintenance and repairs.
Monitor the location of all vehicles through GPS tracking, generating reports on vehicle location, idle time, and speeding incidents.
Prepare and submit monthly vehicle usage reports and quarterly mileage reports to the Line Manager.
Transportation:
Coordinate the scheduling of deliveries and assign drivers to each delivery.
Ensure drivers are equipped with the correct products and routes for the successful completion of deliveries.
Warehouse Coordination:
Maintain end-to-end traceability between warehouse dispatch, vehicle assignment, and customer delivery.
Respond to urgent warehouse, customer, and sales requests in timely manner and fulfilment of compliance requirements.
Adhere to all warehouse instructions, policies, and regulations.
Quality Control:
Enforce compliance with QMS, safety policies, and disciplinary procedures.
Ensure readiness for ISO, MOH, Civil Defense, and internal audits.
Support investigations, CAPA implementation, and closure of logistics-related deviations.
Manage fleet assets in line with ISO asset management controls and as per local authority regulations.
Support internal, external, ISO, and regulatory audits by providing compliant transportation records.
Safety and Traffic Rules:
Ensure drivers hold valid local driving licenses appropriate for vehicle category.
Ensure strict compliance of drivers with local traffic regulations and company driving policy.
Report and investigate traffic incidents or accidents as per local police and company procedures.
Vehicle Maintenance:
Ensure vehicles are clean and properly maintained in accordance with the Company Vehicle Policy and local safety standards.
Ensure vehicles used for medical logistics are clean, enclosed, and fit for purpose.
Ensure all vehicles have valid registration and insurance and comply with local authority permit requirements.
Monitor fuel usage and investigate any variances exceeding approved consumption limits.
Ensure daily vehicle inspection checklists and logbooks are completed and reconciled with GPS data.
Coordinate calibration of temperature monitoring devices where applicable for medical products.
Liaise with approved workshops and vendors licensed by local authorities.
Administrative Responsibilities:
Submit a daily work report to the Line Manager.
Identify training needs and provide coaching to team members to enhance their skills and capabilities.
Ensure all staff are trained on GDP (Goods Distribution Practice), ISO requirements, local traffic rules, safety regulations, and medical product handling.
Maintain training records, attendance logs, and competency assessments for ISO and regulatory audits.

Education:
Bachelors Degree
Additional details:
Candidates must be based in the UAE and should be willing to move to company visa.
Experience:
1+ years of relevant experience.
Job Specific Skills:
Require good knowledge in warehouse coordination - good communication skills & English language.
