Experience working with online tendering portals (e.g., SAP Ariba, Proactis, Tenderlink).

Understanding of legal and contractual terminology.

Job Purpose:

The Tender and Bid Administrator is responsible for the efficient management and coordination of the bid and tender process. This includes reviewing tender documentation, preparing high-quality proposals, ensuring compliance with submission requirements, and supporting internal teams throughout the bidding lifecycle. The role ensures timely delivery of bids that align with strategic business goals.

Key Responsibilities:

Review and interpret tender documents (RFPs, RFQs, ITTs) and distribute requirements to relevant departments. Prepare and submit accurate and professional tender responses in accordance with client instructions and deadlines. Maintain a calendar of tender submissions and track progress of each bid. Coordinate with internal stakeholders (technical, finance, legal, operations) to gather necessary content. Ensure all proposals meet client requirements and company standards. Maintain an organized bid library and database of past submissions, templates, and standard materials. Liaise with procurement portals and keep up to date with new opportunities. Track tender outcomes and assist in post-bid evaluations and reporting. Support the development and improvement of bid processes and tools. Handle confidentiality agreements, NDAs, and other pre-bid documentation. Stay informed about industry trends, competitor activity, and market pricing strategies.
Skills:

Excellent written and verbal communication skills. Strong organizational and project management abilities. High attention to detail and accuracy. Ability to work under pressure and meet tight deadlines. Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook); experience with bid management tools is a plus. Knowledge of procurement regulations and procedures (especially in [insert industry: e.g., construction, IT, public sector]).
