Job Description

Overview:



The main purpose of this role will be to coordinate the efficient movement of goods, focusing on route planning, scheduling shipments, managing inventory for dispatch, handling documentation (invoices, notes), and communicating with drivers/customers to ensure timely deliveries, resolve issues, and optimize logistics using specialized software for tracking and reporting, bridging operations with customer satisfaction.

Key Responsibilities



Shipment Coordination:

Schedule and oversee the dispatch of products to customers or distribution centres.

Route Optimization:

Plan the most efficient delivery routes for vehicles to save fuel and time.

Inventory Monitoring:

Track stock levels to prevent shortages or overstocking for dispatch.

Documentation:

Prepare and manage dispatch paperwork (delivery notes, invoices).

Communication:

Act as a liaison between drivers, sales, customers, and warehouse teams.

Problem Solving:

Address delays, damaged goods, or changes in delivery instructions.

Performance Tracking:

Use dispatch software to monitor shipments, track fleet, and analyze performance data.

Process Improvement

: Identify inefficiencies and suggest ways to enhance logistics.

Key Skills & Qualifications



Skills:

Strong organizational, communication, multitasking, and problem-solving skills; attention to detail; proficiency with dispatch/logistics softwares.

Education/Experience:

High school diploma required; associate's or bachelor's degree in Logistics/Supply Chain preferred; prior experience in dispatch or logistics is crucial.

2 -

4 years within FMCG and/or water distribution company.

WMS / ERP systems

(SAP, Oracle, etc.) Ability to create delivery plans, route sheets, and loading schedules Understanding of vehicle utilization, trailer capacity, and maintenance basics Excellent reporting skills (daily dispatch, variances, shortages) Documentation accuracy (DN, invoice, LPO, route sheet) Experience with coordinating helpers, drivers, warehouse and dispatch personnel

Work Environment



Fast-paced, dynamic, often involving technology for tracking and communication. Collaborative, working across different teams (sales, warehouse, transport).
