We are looking for a highly organized, proactive, and detail-oriented person to manage studio operations, coordinate client projects, and support daily administrative needs.
Role Overview
The Studio Operations & Project Manager is responsible for keeping the studio running smoothly--managing projects end-to-end, coordinating with clients and vendors, organizing internal workflows, and overseeing administrative and operational tasks. This role requires someone who can think ahead, solve problems quickly, and ensure a seamless experience for both the team and clients.
Key Responsibilities
Project Management
Coordinate all client projects from onboarding to final delivery.
Create timelines, assign tasks, and ensure deadlines are met.
Maintain project trackers, calendars, and status reports.
Prepare briefs for designers, photographers, and creative teams.
Client Management
Serve as the main point of contact for clients regarding scheduling, deliverables, and updates.
Manage WhatsApp/Email communication professionally and promptly.
Help prepare proposals, quotations, and contracts.
Ensure high standards of customer service and client satisfaction.
Studio Operations
Manage daily studio workflow and ensure smooth internal communication.
Oversee vendor sourcing, bookings, and logistics (studios, photographers, models, locations).
Maintain organized digital systems: folders, trackers, templates, invoices.
Support scheduling for shoots, meetings, and project reviews.
Administrative Support
Prepare invoices, follow up on payments, and track expenses.
Organize files, documents, and shared drives.
Assist with HR-related tasks such as onboarding freelancers or assisting with schedules.
Handle general admin tasks that support the business and team.
Qualifications
Strong organizational and multitasking skills.
Experience in project management or operations (creative/marketing field is a plus).
Excellent written and communication skills.
Ability to work in a fast-paced, deadline-driven environment.
Problem-solving mindset, proactive, and highly reliable.
Proficiency in Google Drive, Sheets, Docs; experience with project tools is a plus.
