Stock and Inventory Controller ( Accountant )



The Stock / Inventory Controller is responsible for monitoring and maintaining current inventory levels of building materials, creating accurate stock movement and sales reports, and recording all inventory transactions. This role involves coordinating with suppliers for purchase orders, stock transfers, deliveries, tagging, and processing, while ensuring the accuracy of inventory records, supporting cost control processes, and contributing to sales and margin forecasting.

The position reports directly to the CEO and will manage a support team consisting of three (3) Sales & Inventory Officers and two (2) Labour staff to handle daily warehouse and stock management operations efficiently.

Duties and Responsibilities

Maintain and update daily sales, stock, and inventory records for all building materials, tools, and equipment. Produce accurate daily, weekly, and monthly sales, stock movement, and inventory status reports. Produce detailed daily, weekly, and monthly sales reports and reconcile them with stock movement and material issuance. Oversee stock levels and monitor inventory movement within warehouses, yards, and project sites. Identify and report any discrepancies, shortages, excess stock, wastage, or damaged items; implement corrective actions where necessary. Record, post, and update all stock in/out transactions on a daily basis into the inventory management system. Place orders for new stock to maintain optimum inventory levels and prevent stock-outs. Coordinate and monitor the delivery of material requisitions to project sites or departments. Monitor daily material usage reports from sites and reconcile with actual stock balances. Maintain an organized, systematic, and clean warehouse layout for efficient stock handling and storage. Perform regular physical stock counts and reconcile actual stock balances with system-generated reports; initiate adjustments when necessary. Track supplier performance, delivery schedules, pricing trends, and recommend improvements or alternative sources as required. Troubleshoot quantity or quality discrepancies between stock records, delivery notes, and physical inventory. Track inventory accuracy rates, purchase and return transactions, and identify defective or expired items. Conduct regular inventory audits to ensure materials are correctly stored, undamaged, and properly tagged. Verify the quality and quantity of incoming deliveries and document all receipts accurately. Maintain an orderly filing system for all inventory and warehouse-related documentation. Forecast supply and demand requirements based on project schedules and sales forecasts. Prepare depletion lists for stock items nearing minimum levels and identify obsolete or slow-moving items. Collaborate with the procurement team for purchase orders, stock transfers, and vendor follow-ups. Develop and implement efficient inventory management procedures and material loss prevention programs. Issue and record purchase requests and deliveries, maintaining accurate stock and material databases. Support the finance and audit teams with required documentation, reports, and cost breakdowns. Share comprehensive daily, weekly, and monthly reports on stock status, sales, material issues, and warehouse activity, supported by documentation. Ensure alignment of stock valuation with market prices and project budgets. Prepare and analyze sales versus stock movement reports to support business decisions on procurement and pricing. Support management in forecasting sales demand and material requirements based on historical data, seasonal trends, and upcoming project schedules. Assist in developing and maintaining costing sheets for all building material items, including landed cost, supplier rates, transportation, and storage charges. Monitor gross profit margins and selling prices for building materials, ensuring alignment with company target margins and market conditions. Provide management with weekly and monthly variance reports comparing actual sales, stock consumption, and gross profit margins against budgeted forecasts. Supervise, delegate, and review the tasks of the support team to ensure operational efficiency and accuracy in reporting. Perform other duties as assigned by the CEO.
Minimum Qualifications

Education:

Bachelor's Degree in Business Administration, Supply Chain, Finance, or Accounting.
Experience:

Minimum of 5 years of proven experience in warehouse and inventory control management within the building materials, construction supplies, or hardware distribution sector.
Technical Skills:

Proficiency in MS Office (Excel, Word, Outlook) -- advanced level preferred. Experience with inventory management software and ERP systems is an advantage.
Other Requirements:

Strong organizational and leadership skills. Excellent communication and interpersonal abilities. Self-motivated, with a results-oriented and proactive approach. Ability to multitask and work under pressure with minimal supervision. Physically fit to stand or move for extended periods in warehouses and yards. Willingness to work irregular hours, weekends, when necessary.
