Ensure proper filing and retrieval of documents, both digital and physical, in compliance with company policies and legal requirements.
Track the status of various project-related documents, ensuring timely approvals and submissions.
Communication and Coordination
:
Serve as the primary point of contact between project managers, site supervisors, contractors, suppliers, and other stakeholders.
Coordinate and schedule site meetings, manage correspondence, and distribute meeting minutes and action points.
Site Logistics and Support
:
Assist in organizing and managing site activities such as deliveries, equipment rentals, and staff allocations.
Compliance and Safety
:
Ensure compliance with all safety regulations and standards on the construction site.
Monitor and record safety inspections, incidents, and safety meetings.
Financial and Budget Support
:
Assist in tracking project budgets, processing invoices, and ensuring that expenses are documented.
Project Schedule Assistance
:
Help maintain and update the project timeline and schedule, ensuring all tasks are completed on time.
Coordinate with contractors, suppliers, and team members to ensure that work is completed according to schedule.
Reporting and Record Keeping
:
Prepare regular reports on project progress, highlighting key milestones, delays, and issues.
Maintain daily logs and record the progress of work, weather conditions, and any challenges encountered on-site.
General Administrative Tasks
:
Manage site office supplies, equipment, and ensure the office area is organized.
Handle employee onboarding for site workers, including processing timecards, attendance, and other HR-related functions.
Assist with any other administrative tasks as requested by the project manager or supervisor.
Preferred Qualifications
:
Experience in the construction industry or a related field.
Knowledge of project management principles and practices.
Familiarity with construction management software tools.
Previous administrative experience in a construction or project-based environment is a plus.
Certifications in construction safety or project management can be beneficial.
