Job Description

Responsibilities:Coordinate with University Department heads on recruitment requirements to meet the University's staffing needsCoordinate with Department heads to understand and update their recruitment status, and escalate any issues to Recruitment ManagerDetermine appropriate recruitment channels and coordinate methods to advertise vacancies, establish relationships and coordinate with job and recruitment agencies for sourcing of potential candidates.Supervise the coordination and maintenance of a database of various recruitment sources and interview short-listed candidates.Prepare offers and employment contracts, in line with the Compensation and Benefits Grading StructureSupport in the completion of the full recruitment cycle within the framework designed for the UniversityEnsure completion of all paperwork to Fulfill joining formalities and that all recruitment activities in conformity to UAE Labour lawsCoordinate New Employee onboarding activities with relevant departments to ensure that visa, hospitality, housing, medical insurance cards, Facilities and IT Support for the new hires are processed in a timely mannerImplement the orientation programs for new hiresManage and maintain the accurate set-up of all new employee personal files in soft and hard copies, adhering to confidentiality laws and regulationsUndertake analysis and maintain records related to recruitment and staffing across departmentsProduce regular reports in relation to recruitment performance and activity in order that this can be measured and monitored effectively to process analytical reportsAssist with the coordination of recruitment initiatives liaising with external organizations as appropriate to devise solutions and advice to complex staffing problemsImplement ERP to automate processes, set resources and optimize different recruitment related HR processes to meet core business needs.Prepare, consolidate and analyse recruitment (analysis) reports.Assist with ensuring adherence to and the regular review of recruitment processes and procedures, ensuring that the service is meeting the needs of the University, providing recommendations where appropriate and within legislative boundariesLiaise with the Recruitment Officer regarding general queries and provide guidance and monitoring to ensure the standards of professional knowledge, quality and effectiveness are maintainedMaintain absolute discretion and maturity in handling sensitive and confidential data, ensuring that all data is retained and disposed of in compliance with regulationsUndertake any other appropriate project work within the department as required, supporting the Recruitment Manager and the Human Resources team in accomplishment of short-, medium- and long-term objectives and the ongoing development of the departmentAdhere to the University's information security and confidentiality policies and procedures, and report breaches or other security risks accordinglyCoordinate with other departments to facilitate the accomplishment of tasks and responsibilities, as and when neededDemonstrate a strong commitment and practice to maintaining a safe and healthy work environmentPerform any other tasks assigned by the Line Manager
