Act as the primary right-hand support to the Principal(s), ensuring the seamless management of daily life.
Manage complex and fluid diaries, personal schedules, and priorities.
Oversee the smooth operation of the family's residences in Dubai and internationally, liaising with estate teams and service providers.
Coordinate all personal and family travel, including private and commercial arrangements, visas, and detailed itineraries.
Ensure exceptional standards are maintained across all aspects of household and lifestyle management.
Household Staff Employment & Leadership
Lead the recruitment, employment, and management of household staff, including senior and specialist roles.
Draft role specifications, conduct interviews, and manage vetting and onboarding processes.
Oversee employment documentation, contracts, schedules, and payroll coordination.
Provide clear leadership, set expectations, and ensure discretion, performance, and service standards are consistently met.
Act as the senior point of escalation for household staff matters, working closely with legal, HR, or family office advisors where required.
Financial Administration & Controls
Assume responsibility for payments, expense management, and reconciliations across personal, household, and lifestyle expenditure.
Track invoices, approvals, and reimbursements with rigorous attention to accuracy and confidentiality.
Produce regular financial summaries and reconciliations for review by the Principal(s) or their appointed advisors.
Manage recurring financial obligations including property costs, insurance, subscriptions, and education-related expenses.
Liaise with banks, accountants, and family office representatives as required.
Family Project Management
Take ownership of family and lifestyle projects, ensuring delivery to the highest standard.
Oversee projects including property acquisitions or refurbishments, relocations, household set-ups, events, and special initiatives.
Coordinate consultants, contractors, and external specialists, managing timelines, budgets, and approvals.
Provide concise progress updates and anticipate risks or sensitivities.
Communications & Representation
Act as a trusted representative and gatekeeper for the family.
Manage communications on behalf of the Principal(s), exercising sound judgement and appropriate authority.
Liaise with professional advisors, senior service providers, and external stakeholders.
Ensure all interactions reflect the family's values, preferences, and privacy requirements.
Administration & Governance
Maintain impeccably organised digital and physical records, including contracts, financial documentation, and household manuals.
Ensure sensitive information is handled with the highest level of confidentiality and compliance.
Support governance processes in coordination with the family office where applicable.
Experience & Profile
Minimum
7+ years' experience
in a senior Private PA or similar role supporting UHNW individuals or families.
Proven experience managing household staff at a senior level.
Strong financial administration background, including payments and reconciliations.
Demonstrated ability to manage complex projects autonomously.
Exceptional communication skills and executive presence.
Advanced organisational and IT skills.
Absolute discretion, emotional intelligence, and sound judgement.
Flexible approach with the ability to travel internationally when required.
