Position Overview: We are currently seeking a highly organized and motivated Executive Assistant to join our dynamic team. As a Senior Executive Assistant to the CEO, you will play a critical role in providing high-level support and assistance. This position requires exceptional organizational and communication skills, as well as the ability to handle sensitive information with utmost discretion. The Senior Executive Assistant will be responsible for our operations, ensuring smooth coordination between the team and the CEO. Their duties include, managing the schedules and communications of key company executives, prioritizing emails and phone calls, gathering documents to prepare for meetings and coordinating travel arrangements.

Responsibilities:

1. Calendar and Schedule Management: Effectively manage the CEO\'s calendar, including scheduling appointments, meetings, and events. Prioritize commitments and ensure efficient use of time. Anticipate scheduling conflicts and proactively resolve them.

2. Meeting Coordination: Coordinate and schedule internal and external meetings, conferences, and events for the CEO. Prepare meeting agendas, gather relevant materials, and distribute timely meeting minutes. Ensure all logistical arrangements are in place.

3. Travel Arrangements: Manage complex travel itineraries, including domestic and international flights, accommodations, and ground transportation. Prepare detailed travel plans and regularly update the CEO on any changes or adjustments.

4. Communication Management: Act as a liaison between the CEO and internal/external stakeholders. Screen and prioritize incoming calls, emails, and correspondence. Draft and proofread documents, presentations, and reports on behalf of the CEO.

5. Confidentiality and Discretion: Handle confidential information with the utmost discretion and professionalism. Safeguard sensitive information and maintain confidentiality at all times.

6. Relationship Management: Build and maintain positive relationships with key stakeholders, including board members, executives, clients, and partners. Represent the CEO professionally and courteously in all interactions.

7. Information Management: Organize and maintain electronic and physical files, records, and documents. Retrieve information as needed and ensure accurate and timely access to relevant data.

8. Executive Support: Provide comprehensive support to the CEO, including researching and preparing reports, presentations, and briefing materials. Assist with special projects and initiatives as assigned by the CEO.

9. Office Administration: Oversee general administrative tasks, such as ordering supplies, managing invoices, and processing expense reports. Collaborate with other administrative staff to ensure a well-functioning office environment.
