  • Manage and maintain executive calendars, including scheduling and coordinating appointments, meetings, and travel arrangements.
  • Prepare and distribute agendas, minutes, and other relevant materials for executive meetings.
  • Screen and prioritize incoming communications, including emails, phone calls, and mail, and handle or redirect them as appropriate.
  • Draft and edit correspondence, reports, presentations, and other documents for the executive team.
  • Conduct research and gather information to support executive decision-making and strategic initiatives.
  • Collaborate with other administrative staff to ensure smooth workflow and effective communication within the organisation.
  • Coordinate and oversee special projects and initiatives as assigned by the executive team.
  • Manage confidential and sensitive information with the utmost professionalism and discretion.
  • Anticipate the needs of the executive team and proactively provide assistance and support.
  • Prepare and analyse data, reports, and presentations to support executive-level reporting requirements.
  • Assist with budget management, expense tracking, and reimbursement processes.
  • Maintain organised filing systems, both physical and electronic, to ensure easy retrieval of information.
Qualifications:
  • Bachelor's degree in business administration, communications, or a related field (or equivalent work experience).
  • Proven experience as an executive assistant or in a similar senior administrative role.
  • Strong proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software and tools.
  • Exceptional organisational and time management skills, with the ability to prioritise tasks and meet deadlines.
  • Excellent verbal and written communication skills, with the ability to compose professional correspondence and documents.
  • High level of professionalism and discretion in handling sensitive and confidential information.
  • Strong attention to detail and accuracy in all work performed.
  • Ability to work independently, demonstrate initiative, and exercise sound judgment.
  • Strong problem-solving and decision-making abilities.
  • Flexibility and adaptability to changing priorities and work demands.
  • Proven ability to work effectively in a fast-paced and dynamic environment.
  • Previous experience supporting C-level executives or senior leadership preferred.
  • Knowledge of project management principles and practices is a plus.
  • Strong interpersonal skills and the ability to build and maintain positive relationships at all levels of the organization.
