To provide admin and business management support to a large group of bankers. Duties are varied and with varying degrees of complexity. Information is of a confidential nature requiring discretion. There will be regular contact / communication with senior assistants / bankers across many functions within ICM and Citi
Directly supports a C16 level manager (MD) and supports an entire department (ICM)
Coordinates all aspects of executive level manager appointments, meetings, receptions, and conference calls
May prepare and review materials and correspondence for meetings
Assist with creation/modification of presentations, spreadsheets, and other various documents relevant to the running of the ICM business
Coordinates travel arrangements; prepares and distributes schedules/agendas for travel
Prepares, reconciles, and tracks expense reports through Travel and Entertainment Expense system
Orders supplies and processes invoices through Procure to Pay system
Processes and follows up on Virtual Requests (internal systems such as CMP, ServiceNow)
Assists in ad-hoc reports special projects as needed
Works with ICM teams on all logistical matters including space planning, IT, onboarding (new hire set up) and local infrastructure matters
Trains, coaches, or guides other administrative staff when required
Appropriately assesses risk when business decisions are made, demonstrating consideration for the firm\'s reputation and safeguarding Citi, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency
Skills:
Excellent knowledge of MS Office applications, including use of Outlook as a business tool
Strong IT skills; experience of internal Citi applications an advantage
Strong interpersonal skills
Strong oral and written communication skills
Attention to detail
Ability to multi-task effectively and efficiently
Ability to take unexpected eventualities in their stride, and to cope well under pressure
Excellent organizational skills, with strong background in managing multiple priorities
COB Planning, records management an advantage
Knowledge/Experience:
Experience of operating in a similar role in a professional services environment
Proven experience of adapting to changing circumstances, responding to varying business needs and priorities
Demonstrable experience of working effectively in a high-pressure and challenging environment
Qualifications:
5+ years\xe2\x80\x99 experience at senior level within a corporate environment at a senior level
