Job Summary:



The Secretary to the General Manager provides comprehensive administrative and executive support to the General Manager, ensuring the smooth and efficient operation of the Executive Office. The role requires a high level of professionalism, confidentiality, organizational skills, and the ability to manage multiple priorities effectively.

Key Responsibilities:



Provide full administrative and secretarial support to the General Manager. Manage and organize the General Manager's calendar, schedule meetings, appointments, and travel arrangements. Prepare correspondence, reports, presentations, and other documents on behalf of the General Manager. Handle incoming and outgoing communications, ensuring timely and accurate responses. Maintain confidentiality and handle sensitive information with discretion and professionalism. Coordinate interdepartmental communication and ensure the General Manager is informed of all relevant matters. Assist in preparing meeting agendas, recording minutes, and following up on action items. Screen phone calls, emails, and requests; prioritize issues requiring the GM's attention. Maintain filing systems, both electronic and manual, ensuring documents are easily accessible and properly organized. Support the organization of corporate events, meetings, and executive visits as required. Liaise with internal departments, clients, and external partners on behalf of the General Manager. Perform other administrative duties as assigned to support the smooth functioning of the Executive Office.

Requirements:



Minimum 2-4 years of experience as an Executive Secretary, Personal Assistant, or similar role, preferably in an F&B, hospitality, or corporate environment. Excellent written and verbal communication skills. Strong organizational and time management abilities. Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook). Ability to handle multiple tasks and work under pressure. High level of discretion, integrity, and professionalism. Strong attention to detail and proactive approach.
