Role Description:



As a Secretary cum Document Controller, you will be integral to our organizational efficiency, ensuring seamless communication and effective documentation management. You will play a pivotal role in supporting daily operations by managing correspondence, organizing files, and maintaining accurate records. Your attention to detail and organizational skills will be essential in facilitating smooth interactions between internal teams and external stakeholders.

Key Responsibilities:



Manages and coordinates with project stakeholders for any document control related concerns. Set up the Document System in terms of new project documentations (procedures, processes, templates, application, etc). Perform all clerical works which include filing, typing, photocopying and other works being assigned from time to time. Copy, scan and store documents. Check for accuracy and edit files, like contracts. Review and update technical documents (e.g. manuals and workflows). Distribute project-related copies to internal teams. File documents in physical and digital records. Create templates for future use. Develop electronic filing and archive system and technical library for easy to issuance, storage, retrieval and management of documents to internal and external customers. Retrieve files as requested by employees and clients. Manage the flow of documentation within the organization. Maintain confidentiality around sensitive information and terms of agreement. Prepare ad-hoc reports on projects as needed. Support the Quality & PMO Manager in improving Document Control and QA/QC processes & procedures in line with the project/business requirements.

Qualifications:



Bachelor's in business management or relevant bachelor's degree. Having Aconex, PMWeb or any EDMS online document management training certificate is advantage. Excellent Knowledge in Microsoft Office Package (i.e Excel, Word, PowerPoint, SharePoint, Project, Visio). Proven work experience as a Document Controller or similar role. Knowledge of Electronic Document Management Systems (EDMS). Proficient typing and editing skills. Data organization skills. Minimum of 1 or 2 years relevant experience.
