Job Description

Hiring for ARABIC Executive Secretary extra points if knows Russian Language, to provide full administrative support to the General Manager and to all other departments. The ideal candidate should have excellent oral and written communication skills and be able to organize their work to ensure the efficient and smooth day-to-day operation of our office. Responsibilities: Manage and coordinate all the administrative tasks to facilitate the smooth running and function of the GM Office and to ensure work is being executed efficiently, accurately and in a timely manner. Manage & maintain the GM diary and schedule and follow-up appointments. Attend to the GM when in Office and outside. Prepare and update agendas and prepare pre-meeting notes. Take dictation and circulate Minutes of Meeting along with the Admin Secretary or Accountant and inform the appropriate team member. Liaise with other Staff on behalf of the GM. Arrange all bookings and travel requirements, in addition to organization of all required arrangements for both internal and overseas visits of the GM. Maintain and regularly review and update electronic records and storage for all data. Coordinate communication between the GM and other Head of Departments. Receive queries and explanations, if any, on behalf of the GM and co-ordinate with the concerned personnel in Departments to provide necessary clarifications. Respond promptly and efficiently to telephone calls and manage the emails addressed to the GM. Provide information to callers, direct calls to appropriate staff, and place outgoing calls for the GM. Greet and receive visitors of the GM and ensure proper attention and hospitality are extended at all times. Manage the flow of internal communication of the GM and communicate the instruction of the GM to appropriate team members. Follow up all Head of Departments Deliverables to make sure they are meeting the deadlines. Attend meetings with the GM, making sure complete pre-meeting notes and preliminary research are prepared and briefed to the GM ahead of time; and take minutes of meetings. Perform other tasks as they arise and as delegated by the GM. To undertake additional duties and responsibilities as required during as required. Ensure effective information and task sharing across the team. Ensure coverage for all business-critical tasks are always maintained. Finalize all external written communication for the GM Signature. Manage the daily meetings with staff within the GM Office to manage and monitor workflow, work quality and effective use of time. Oversee the management and maintenance of the Contact Database Job Types: Full-time, Permanent Education:

Experience:
  • Secretary Arabic: 4 years (Preferred)
