Position Overview
We are looking for a reliable
Sales Admin/Secretary
to provide administrative support to our sales team and management. This role will ensure smooth coordination between departments, efficient handling of sales documentation, and effective communication with clients. The ideal candidate will be detail-oriented, organized, and capable of multitasking in a fast-paced environment.
Key Responsibilities
Prepare and issue invoices, quotations, and receipt vouchers for clients.
Maintain accurate records of sales transactions, payments, and outstanding balances.
Support the sales team with order processing, documentation, and follow-ups.
Assist in preparing monthly sales and rental summary reports.
Organize and maintain files, contracts, and confidential company records.
Schedule meetings, appointments, and follow-ups for sales and management.
Handle incoming calls, emails, and client inquiries in a professional manner.
Coordinate with the accounts team to ensure timely reconciliation of payments.
Track sales quotas and commissions where applicable.
Provide general administrative support to management as required.
Qualifications
Bachelor's degree or diploma in Business Administration, Office Management, or a related field.
Proven experience as a Sales Admin, Secretary, or Administrative Assistant.
Strong organizational and time-management skills.
Proficiency in MS Office (Word, Excel, PowerPoint) and familiarity with accounting or invoicing software (QuickBooks, Xero, or similar).
Excellent verbal and written communication skills.
Attention to detail and accuracy in recordkeeping.
Ability to handle confidential information with integrity.
Preferred Skills
Experience in a sales-driven or trading company environment.
Knowledge of mobility or medical equipment industry is an advantage.
Strong problem-solving skills and adaptability.
Ability to work both independently and as part of a team.
