We are looking for a Regional Administrative Sales Support for one of our leading clients. Job Responsibilities:
The Regional Administrative Sales Support role will support our Regional Sales teams and be an extension of our Sales Support team.
-It will be important that this role works cross- functionally to resolve issues and are able to partner to get what they need from other departments to serve the Sales team.
Anticipates Sales information needs and provides timely and accurate information.
Communicates realistic expectations when explaining next steps/course of actions and follows up in line with agreed timeframe.
Maintains internal and external relationships: o Communicate effectively with sales managers and Customers to maintain existing relationships while helping to create and build new client relationships. o Manage customers' accounts; by Communicate customer requirements internally, chasing progress with all departments (Manufacturing, Service Center, Sales, Technical Support.) o Monitor, communicate and escalate the health of the customer’s order book / shipping schedule. o Confirms customer orders, raises pro-forma invoices, and coordinates with them until completion of shipments. Order Management o Inputs new sales quotations into Sales force and communicates pricing and delivery information with clients o Create timely and compliant sales orders in SAP (VRV, DX & Applied) o Ensure correct order scheduling in line with Customer RDD o Work with DAME Supply Planning on stock allocation or PO placement to factory for production o Work with Sales and Finance to follow up on customer payments. Delivery Execution o Creates delivery in SAP and sends details to Logistics team. o Manages administration & shipping formalities to hand over to Logistics o Coordinates with customers to arrange deliveries to site o Checks Payment availability & communicates with Sales & Customers to insure payment transfer. o Obtains required approvals from Management to ensure smooth Q2C. o Coordinates LC’s creation with concerned partners (CCD Team, Logistics, clients) Reporting o Prepares monthly, weekly sales progress report of the designated region o Ensures processes are laid out and followed in a manner that is complaint to J-Sox rules and regulation. o Monitors actual cost allocation against approved cost and provisions per project. o Sends invoice original copies to customer & arranges for Payment collection. Job Requirements: Experience & Knowledge:
Minimum of 3 -5 years of experience in Sales Administration or Customer Service
SAP and Salesforce.com knowledge
Proficiency in the Microsoft Suite of products, including Word, Excel, PowerPoint and Outlook is required. Working knowledge of Microsoft SharePoint and OneDrive a plus.
Highly beneficial to have previous experience with supporting Sales teams.
