Job Summary:
We are looking for an experienced and highly organized
Front Office cum Office Manager
to manage the reception area while overseeing the overall office administration. This hybrid role requires someone who can deliver a professional first impression to visitors while ensuring smooth day-to-day office operations. The ideal candidate will be proactive, resourceful, and capable of managing multiple responsibilities, from handling front desk activities to supervising administrative processes and supporting management.
Key Responsibilities: Front Office Operations:
Serve as the first point of contact for clients, visitors, and staff with a welcoming and professional approach
Answer, screen, and forward phone calls while managing email inquiries and correspondence
Maintain a clean, organized, and professional reception and waiting area
Schedule and coordinate meeting rooms, appointments, and client visits
Handle incoming and outgoing mail, courier services, and document distribution
Office Administration & Management:
Oversee day-to-day office operations, ensuring efficiency and productivity
Manage office supplies inventory, ordering, and vendor coordination to ensure availability of resources
Maintain office equipment and liaise with service providers for repairs or upgrades
Draft, review, and maintain administrative reports, memos, and correspondence
Ensure office policies and procedures are followed and updated as needed
Staff Support:
Maintain employee attendance, leave records, and basic HR administration tasks
Assist in planning and organizing internal events, meetings, and team-building activities
Provide administrative support to management and other departments as required
Facility & Vendor Management:
Coordinate with facility management for office maintenance, housekeeping, and security
Develop and maintain relationships with external service providers, contractors, and suppliers
Ensure compliance with health, safety, and regulatory requirements in the workplace
Requirements & Qualifications:
Bachelor's degree in Business Administration, Management, or related field (preferred)
3-5 years of proven experience in a
Front Office, Office Manager, or Administrative
role
Strong organizational and multitasking skills with attention to detail
Excellent verbal and written communication skills in English (Arabic is a plus)
Proficiency in
MS Office (Word, Excel, PowerPoint, Outlook)
and office management systems
Professional appearance and demeanor with strong customer service orientation
Ability to manage sensitive information with integrity and confidentiality
Strong problem-solving skills and ability to work under pressure
