Job Description

Purpose:

Receptionist cum executive secretary will ensure the smooth running of the office by performing day-to-day operational activities and providing high level of administrative support to the COO and other leadership team.

Responsibilities as an Executive Secretary
  • Secretarial Support to the COO
  • Responding to emails and receiving calls daily
  • Completing any personal requests from the management
  • Organization and management of diaries for the COO
  • Update calendars and schedule meetings
  • Organizing conference rooms for meetings
Responsibilities as a Receptionist
  • Welcoming visitors to the office and introducing them to the appropriate personnel.
  • Answering telephone calls and if needed, directing callers to the appropriate personnel.
  • Attend to all customer queries and interactions with courtesy and respect.
  • Maintain the reception area, meeting room, COO\xe2\x80\x99s office, and common areas in a clean and tidy manner at all times.
  • Overseeing the general appearance of the office, as well as keeping supplies well stocked.
  • Maintain office security by following safety procedures.
  • Provides general administrative support to other line managers.
Other Administrative duties will be: -
  • Arrange travel and accommodation for senior management, buyers, and suppliers.
  • Booking tickets, hotels, processing visas and arranging transportation.
  • Managing daily couriers
  • Managing S2P2P platform by creating purchase orders related to couriers/stationery/pantry items/printers/mobile expenses/hotel/tickets etc.
  • Co-ordinating with payments team and then arranging to send the cheque for deposit, sending details for payment allocation.
  • Managing the schedule of drivers and office boys
Requirements
  • 3 \xe2\x80\x93 4 years proven experience as an Executive secretary/Admin Assistant/Receptionist
  • Excellent written and verbal communication skills.
  • Knowledge of office administrator responsibilities, systems, and procedures
  • Proficiency in MS Office (MS Excel and MS Outlook)
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Attention to detail and problem-solving skills.
  • Strong organizational and planning skills in a fast-paced environment
  • A creative mind with an ability to suggest improvements.
  • High level of accuracy
