Job Description

Provide full administrative and secretarial support to the Management to ensure the smooth management of the day-to-day affairs, and most effective use of time. Handle sensitive and complex issues in a professional and objective manner. Take initiative as appropriate as and when required to communicate with stakeholders or other members within the organization.

Responsibilities:

Manage Director's electronic diary, assessing priority of appointments and reallocation as necessary. Process the correspondence for Management members, ensuring that incoming correspondence is dealt with by the Director/or on behalf of the Director, or other staff members as appropriate. Manage the travel arrangements (including visas/accommodation) of the management members when necessary. Screen calls, enquiries and requests, and deal with them when appropriate. Assist in researching and following up with action on matters which fall within the Director's responsibility - chasing responses, triggering follow-up action. Organize meetings and ensure that Director is well prepared for those meetings, preparing agendas, pre-meeting briefings and meeting papers. Produce documents, briefing papers, reports, and presentations for the Director. Assist in coordinating and following with the different members of company to complete the work on time on the desired time with no delays. Prioritize conflicting needs; handle all matter expeditiously, proactively, and follow through on projects to successful completion, often with deadline pressures. Plan events from start to finish according to the requirements, target audience and objectives, coming up with suggestions to enhance the event's success and preparing budgets and ensuring adherence Provide a bridge for clear communication and maintain credibility, trust, and support between the office of the Director and staff members. Dealing with Director's personal matters including holidays, flights, banking, family, housing, and other private matters. In addition to above, the responsibility also includes - Business Administrative duties, Company Secretarial matters, Business Development Assistance, etc. Any other duties will be communicated as and when required Greet and welcome guests/visitors/employees as soon as they arrive at the office. Direct visitors to the appropriate person and office. Answer, screen, and forward incoming phone calls. Ensure reception and office spaces are always tidy and presentable, with all necessary stationery and materials. Provide basic and accurate information in-person and via phone/email. Receive, sort, and distribute daily mail/deliveries. Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook) Order office supplies and keep inventory of stock Arrange transportations with driver when necessary to transfer the goods/documents from one office to another. Perform other clerical receptionist duties such as filing, photocopying, etc. Perform all other ad hoc tasks assigned by the line manager.
