JOB OBJECTIVE
The Salon Receptionist plays a vital role in ensuring the smooth operation of the salon by managing various administrative tasks, handling inventory, scheduling appointments, and providing exceptional customer service to clients. This position requires excellent organizational skills, attention to detail, and the ability to multitask effectively in a fast-paced salon environment.

DUTY & RESPONSIBILITIES

Client Interaction:
  • Greet clients warmly as they enter the salon, creating a welcoming and friendly atmosphere.
  • Assist clients in scheduling appointments, ensuring accurate entry of appointment details into the salon software system.
  • Answer incoming phone calls, address client inquiries, and provide information about salon services, pricing, and availability.
  • Maintain a professional and positive demeanor while addressing client concerns and resolving issues.
Appointment Scheduling:
  • Efficiently manage the appointment book, coordinating and scheduling appointments based on stylist availability and client preferences.
  • Notify stylists of their daily schedules and any changes to appointments.
  • Send appointment reminders to clients through various communication channels, such as email or SMS.
Inventory Management:
  • Monitor and track salon inventory, including haircare products, styling tools, and other supplies.
  • Place orders for replenishing inventory as needed and ensure timely delivery.
  • Receive and inspect incoming shipments, verify accuracy of items, and update inventory records.
Staff Rostering:
  • Collaborate with the salon manager to create and manage staff rosters, ensuring adequate coverage during operating hours.
  • Coordinate with stylists, technicians, and other staff members to accommodate scheduling preferences and availability.
  • Update and communicate roster changes to the team in a timely manner.
Administrative Tasks:
  • Maintain and organize client records, ensuring accuracy and confidentiality.
  • Process client payments, issue receipts, and handle cash transactions in accordance with salon policies.
  • Assist with administrative duties, such as filing, data entry, and document management.
Client Relations:
  • Foster positive relationships with clients by offering exceptional customer service and personalized attention.
  • Collect feedback from clients to continuously improve salon services and address any concerns.
  • Handle client complaints or issues with empathy and professionalism, seeking solutions to ensure client satisfaction.
Team Collaboration:
  • Communicate effectively with stylists, technicians, and other salon staff to ensure a seamless flow of operations.
  • Collaborate with the salon manager to implement effective strategies for optimizing client experience and salon efficiency.
Maintain Cleanliness and Presentation:
  • Ensure the reception area is tidy and presentable at all times.
  • Keep track of cleaning schedules and coordinate with support staff for regular maintenance.

7. QUALIFICATIONS, EXPERIENCE & SKILLS
  • High school diploma or equivalent; additional education in hospitality or business administration is a plus.
  • Previous experience in a customer service or receptionist role, preferably in a salon or spa environment.
  • Strong interpersonal skills and the ability to communicate effectively with clients and colleagues.
  • Proficiency in using salon management software, scheduling systems, and basic computer applications.
  • Excellent organizational skills, attention to detail, and the ability to multitask effectively.
  • Professional appearance and demeanor, maintaining a positive attitude even during busy periods.
  • Knowledge of salon services, products, and terminology is advantageous.
  • Flexibility to work during salon operating hours, including weekends and evenings.
