We are seeking a professional, organized, and friendly
Administrative Receptionist
to support our real estate office's front-desk and administrative operations. This role is the first point of contact for clients and visitors, providing exceptional customer service while ensuring smooth day-to-day office functions.
Key Responsibilities:
Front Desk & Client Interaction
Greet and welcome clients, visitors, agents, and vendors.
Answer, screen, and direct incoming phone calls and emails.
Schedule appointments and manage the calendar for agents and meetings.
Provide general information about listings, services, and office operations.
Administrative Support
Maintain and update listing files, client databases, and internal records.
Prepare documents, forms, and packages (e.g., listing agreements, disclosures, contracts).
Support agents with MLS updates, property brochures, and marketing materials.
Coordinate document signing using tools like
DocuSign
or
Dotloop
.
Office Organization
Order and manage office supplies and equipment.
Ensure the reception and common areas are tidy, presentable, and well-stocked.
Distribute incoming mail and manage outgoing correspondence.
Real Estate Transaction Assistance
Assist in the coordination of listing and closing processes.
Track deadlines for contingencies, inspections, appraisals, and closings.
Communicate with clients, title companies, lenders, and agents as needed.
Qualifications:
High school diploma or equivalent; associate degree or administrative training preferred.
1-3 years of experience in reception, office admin, or real estate support role.
Proficient in Microsoft Office (Word, Excel, Outlook) and real estate tools (e.g., MLS, CRM, transaction software).
Excellent communication and customer service skills.
Strong multitasking, organizational, and time management abilities.
Professional appearance and demeanor.
