Job Overview:

The Purchase Assistant in the food and beverage hospitality sector plays a crucial role in ensuring that the procurement of products and supplies is conducted efficiently and in line with company standards. This role involves coordinating with suppliers, maintaining inventory levels, and assisting in the purchasing process to support the smooth operation of our food and beverage services.

Key Responsibilities:

Procurement Support:

Assist in the procurement of food, beverages, and related supplies, ensuring timely and cost-effective purchases that meet quality standards.

Supplier Coordination:

Liaise with suppliers and vendors to place orders, track deliveries, and resolve any issues related to product quality or delivery.

Inventory Management:

Monitor inventory levels and place orders to ensure stock is maintained at optimal levels. Update inventory records and track stock movement.

Order Processing:

Prepare and process purchase orders accurately. Verify and confirm order details with suppliers to prevent discrepancies

Documentation:

Maintain accurate records of purchases, including invoices, delivery notes, and receipts. Assist in reconciling invoices with purchase orders and delivery notes.

Communication:

Collaborate with internal departments such as the kitchen, bar, and management to understand their needs and ensure that orders are placed accordingly.

Administrative Support:

Provide administrative support to the Purchasing Manager, including preparing reports, tracking order statuses, and handling correspondence.

Working Conditions:

Environment:

Primarily office-based with occasional visits to supplier locations or storage areas.

Hours:

Full-time position with standard working hours; may require occasional overtime or weekend work depending on operational needs.
