Property Management Officer

Job Description

The Property Management Officer is responsible for the overall operation, management, and maintenance of assigned properties. This includes tenant relations, lease administration, budgeting, financial reporting, and ensuring compliance with local laws and regulations. The ideal candidate will be customer-focused, organized, and able to handle multiple tasks in a fast-paced environment.

Key Responsibilities:



Tenant Relations:

Respond to tenant inquiries and resolve complaints in a timely and professional manner. Ensure tenant satisfaction by maintaining positive relationships. Oversee tenant move-ins and move-outs, ensuring a smooth transition.

Leasing and Rent Collection:

Market available properties and conduct property showings. Handle leasing agreements, renewals, and terminations. Collect rent and other payments, enforce lease terms, and initiate eviction processes if necessary.

Property Maintenance:

Ensure the property is well-maintained and all facilities are in working order. Coordinate regular maintenance and emergency repairs with contractors or in-house maintenance staff. Perform property inspections and take corrective actions as needed.

Financial Management:

Prepare and manage the property's budget, keeping expenses within limits. Monitor cash flow and ensure accurate financial reporting. Prepare monthly/quarterly/annual financial statements for property owners.

Compliance and Legal:

Ensure that the property complies with local, state, and federal regulations (e.g., building codes, health, and safety regulations). Stay updated on landlord-tenant laws and handle legal issues when they arise. Oversee insurance policies and ensure compliance with safety standards.

Administrative Duties:

Maintain accurate records for each property, including leases, maintenance requests, and inspections. Manage vendor relationships and contract negotiations for services like cleaning, landscaping, and security. Coordinate any property renovations, improvements, or capital projects.

Skills & Qualifications:



Prior experience in property management, real estate, or a related field is preferred. Strong communication and customer service skills. Excellent organizational and time management abilities. Knowledge of property management software Ability to handle conflict and resolve issues effectively. Financial literacy and budgeting experience.
