Position Summary
We are seeking a highly organized and proactive Project Service Coordinator to join our dynamic team. This role is central to the efficient coordination of our biomedical service and sales operations. The ideal candidate will be the vital link between our clients, field engineers, and sales team, ensuring seamless project execution, exceptional customer service, and the smooth administrative functioning of the service department. A strong background in biomedical environments and advanced proficiency in MS Excel are essential for success in this position.
Key Responsibilities
Service Coordination & Administration:

  • Act as the primary point of contact for client service requests, scheduling, and follow-up.
  • Coordinate and dispatch field service engineers for maintenance, repairs, and installations.
  • Manage the service calendar, ensuring optimal allocation of resources and timely completion of tasks.
  • Process work orders, service reports, and maintenance contracts.
  • Maintain accurate and up-to-date records of all service activities, equipment history, and customer interactions in the database.
Project & Sales Support:
  • Provide administrative support for medical equipment service sales activities, including preparing quotations, proposals, and tender documents.
  • Track sales leads, service contracts, and project milestones.
  • Assist in the preparation of project plans, timelines, and status reports.
  • Coordinate with suppliers and internal teams to ensure project deliverables are met on time.
Data Management & Reporting:
  • Utilize MS Excel (Mandatory) to create detailed spreadsheets, trackers, and dashboards for service metrics, inventory, and financial data.
  • Generate regular reports on key performance indicators (KPIs) such as response times, completion rates, and customer satisfaction.
  • Analyze data to identify trends, inefficiencies, and opportunities for improvement.
Customer Relationship Management:
  • Build and maintain strong, long-term relationships with clients.
  • Proactively communicate with customers regarding service status, updates, and scheduling.
  • Handle customer inquiries and resolve issues in a professional and timely manner.
Experience & Skills Requirements
  • Education: Bachelor's or Diploma Degree in Biomedical Engineering, Business Administration, or a related field.
  • Experience: A minimum of 2 years of experience in a biomedical maintenance/service coordination, medical equipment service sales admin, or a directly related role.
  • Location: Must be currently available in the UAE.
  • Technical Skills:
  • Strong experience in MS Office is mandatory, with advanced proficiency in Excel (e.g., PivotTables, VLOOKUPs, complex formulas, charting).
  • Personal Skills:
  • Excellent time management skills and strong organizational abilities.
  • The ability to work independently, prioritize effectively, and multitask in a fast-paced environment.
  • Proven ability to work under pressure and meet tight deadlines.
  • Flexibility to handle multiple tasks and adapt to changing business priorities.
  • Willingness to work flexible hours when required by project demands.
  • Languages: Fluency in English is mandatory. Knowledge of Arabic is a significant advantage.
