Project Coordinator Location: Dubai . Position Overview The position of Project Coordinator has twin responsibilities:
To manage the maintenance of Crown Worldwide\xe2\x80\x99s facilities in the UAE
To act as a Project Coordinator for Crown Workspace\xe2\x80\x99s office interior design and fit out projects
Facility Management Maintenance Planning
Prepare annual preventive maintenance plan and budget for approval
Prepare, schedule and report on inspections, maintenance activities and requirements in UAE facilities (DIP, JAFZA and any future facilities).
Research, evaluate and implement energy efficiency initiatives in line with our Net Zero Goal.
Maintenance Execution
In coordination with BU Operations Managers, prepare schedule of daily maintenance tasks
Manage, check and rigorously quality control all maintenance activities performed by external resources
Manage the stock of maintenance consumables and critical spare parts
Manage, continuously monitor, and sign off all maintenance activities performed by external contractors. Escalate any issues related to contractor\xe2\x80\x99s performance
Respond to incidents in a timely manner and take appropriate action in case of emergencies.
On call 24/7 for emergency responses and action if required
Risk Management and reporting
Ensure that only \xe2\x80\x98approved\xe2\x80\x99 Service Partners are used with appropriate compliance checks and levels of insurance
Ensure that only fully trained and qualified internal resources perform maintenance
Ensure that Health and Safety protocols are adhered to at all times by both internal and external teams
Ensure that all maintenance activities are fully documented
Develop a talent pipeline, act as a mentor, and advise and coordinate training needs
Practice a strong metrics management approach with continuous monitoring of KPIs for lead management.
Drive a \xe2\x80\x9cprofit opportunity\xe2\x80\x9d culture, for example: drive growth in higher gross margin services.
Develop effective systems to capture all potential corporate leads across all Brands.
Work closely with the Job Costing and Move Management team to actively develop the service partner network to ensure competitiveness and excellence in service delivery to all customers.
Project Coordination - Interior Design and Fit Outs
Coordinate and manage all phases of interior design and fit out projects
Meet with clients to discuss their needs, preferences and priorities in detail, including any special considerations or concerns
Prepare pricing and BOQ submission templates for submission by fit out contractors and suppliers
Review bids from subcontractors, negotiate best value, in terms of price, quality and the scope of work offered.
Work with design consultant to coordinate design details with construction plans
Manage project scheduling, create and communicate clear and attainable project objectives and project requirements
Major Projects For large, fully outsourced design and fit out projects:
Agree clear and attainable project schedules with contractors, monitor progress daily to ensure the project is delivered to scope, on time and on budget.
Manage costs, administration and variations extremely closely
Prepare progress reports for clients on a regular basis throughout the duration of the project
Health and Safety, compliance
For inhouse design fit out projects:
Provide leadership to project team
Prepare project proposals, negotiate contracts and fees, coordinate bidding process
Manage materials and labor costs to ensure that projects stay within budget guidelines
Manage overall project fees and schedules
Ensure that only \xe2\x80\x98approved\xe2\x80\x99 Service Partners are used with appropriate compliance checks and levels of insurance.
Ensure that only fully trained and qualified internal resources work onsite
Ensure that Health and Safety protocols are adhered to at all times by both internal and external teams
