Project Administrator

Job Description

The Project Administrator provides administrative and coordination support to project teams to ensure projects are executed smoothly, on time, and within budget. The role involves documentation control, coordination with internal and external stakeholders, scheduling, reporting, and general project office support.

Key Responsibilities

Project Coordination & Support



Provide day-to-day administrative support to Project Managers and project teams Assist in planning, scheduling, and coordinating project activities Track project progress and follow up on action items and deadlines

Documentation & Reporting



Prepare, maintain, and control project documents (contracts, drawings, correspondence, reports, MOMs) Ensure proper filing and version control of project records Prepare regular project status reports, trackers, and summaries

Communication & Liaison



Act as a point of contact between project teams, clients, consultants, and vendors Schedule meetings, prepare agendas, and circulate Minutes of Meetings (MoMs) Coordinate approvals, submissions, and follow-ups

Procurement & Financial Support



Assist with purchase requests, LPOs, invoices, and payment tracking Maintain cost trackers and support budget monitoring Coordinate with Finance and Procurement departments as required

Compliance & Project Controls



Ensure compliance with company policies, project procedures, and contractual requirements Support audits and inspections by maintaining accurate records Assist in risk registers and issue logs

General Administration



Maintain attendance records, site manpower reports, and timesheets Organize travel, accommodation, and site access when required Provide general office and site administrative support
Qualifications & Skills

Education



Bachelor's degree in Business Administration, Project Management, or a related field

Experience



2-5 years of experience in project administration or a similar role Experience in construction, engineering, or EPC projects is an advantage

Skills & Competencies



Strong organizational and time-management skills Excellent communication and coordination abilities Proficiency in MS Office (Excel, Word, PowerPoint); knowledge of project management tools is a plus Attention to detail and ability to manage multiple tasks Ability to work independently and under pressure
Preferred Attributes

Familiarity with UAE project environments and documentation standards Strong follow-up and problem-solving skills Team-oriented with a proactive approach
