The Program Assistant is a key member of the department charged with managing the Fulbright Foreign Student Program for the United Arab Emirates. This position is for a limited scope and duration where the incumbent will work in tandem with the assigned Program Officer to support student recruitment and perform application review activities. The incumbent also will assume responsibilities that pertain to and require the assistance of the Fulbright department. Therefore, the Program Assistant must be organized, diplomatic, and team-focused. RESPONSIBILITIES: Provide administrative duties including:

  • Assist with student outreach and recruitment
  • Process student application material and confirm compliance with overall requirements
  • Assist with the internal shortlisting of all applications received, and prepare folders to monitor adherence to requirements
  • Work directly with students to collect missing application information
  • Respond to students with their questions and inquiries
  • Prepare students for their interview panel and any other event with the US Embassy
  • Coordinate university application submissions and track admission decisions
  • Correspond with current and potential Fulbright students, Amideast field staff, and US Embassy representatives
  • Accurately maintain student files and database records
  • Coordinate and assist in conducting virtual interviews with Program Officer and nominees
  • Coordinate virtual pre-departure orientation meetings with incoming Fulbright students
  • Process and reconcile student payments
  • Process student testing requirements
  • Contribute to department's social media efforts
  • Provide general clerical support to the Fulbright department as a whole
  • Other administrative duties as assigned by supervisor
QUALIFICATIONS:
  • Bachelor's degree or equivalent
  • Minimum one-year relevant experience in an office environment
  • Precise attention to detail, strong organizational skills, and the ability to multi-task
  • Excellent written and spoken English communications skills, Arabic is a plus
  • Experience using Microsoft Office
  • Interest in International Education desired
  • Experience working with students is a plus
