Set up and maintain a controlled framework to ensure that all procurement activities are effectively managed and are in accordance with the Contract Standing Orders, Procurement and Financial Regulations.
Develop and review Procurement Strategy covering each of the key business areas.
Develop the Procurement Procedures to ensure that the concerned staff know when they are required to engage with the procurement team.
Ensure that the correct procedures are followed in respect of all major procurement activities.
Continually develop procurement expertise across the Company to support staff development, knowledge and expertise in procurement activities.
Constantly implement SAP applications and ensure no procurement backlogs.
Set up a process of review for all Contracts, Supplies and Suppliers ensuring that maximum value for money benefits are achieved through supplier rationalization, developing an approved Supplier list.
Encourage effective contract management across the business with regular reviews, development of Service Level Agreements and key performance measures.
Build and develop good relationships with key suppliers to ensure best value for money and customer satisfaction with services provided.
Ensure that all areas of concern are identified and addressed as early as possible, with remedial action taken.
Engage with Procurement forums/seminars to ensure that value for money and economies of scale are used to BCDs benefit, where appropriate.
Monitor trends in supplier and contract base and propose/implement plans to respond to such trends.
Ensure that the central Contract Register is maintained, together with master contracts.
Ensure that the necessary training is provided to the members of the procurement team to enable them to support the business wherever possible.
Establish a central procurement plan covering a rolling 3-year period to ensure that all activities can be forward planned and that adequate resources exist.
Engage with the business to identify the key procurement priorities and ensure that resources are assigned accordingly.
Minimize the use of external resources and deliver a value for money service to the business.
Set procurement savings targets each year in conjunction with the Accounts team and monitor delivery against targets.
Prepare report to the Management on a quarterly basis or upon their request. Providing a review of procurement activities and achievements.
Identifying and building a database of all the products and suppliers within the relevant industry.
Regularly following up with the internal and external teams for all the purchases.
Maintaining an Inventory (stock) level for the company
Preparing & maintaining Procurement schedules / Log for every project. Coordinating with all Project Managers to discusses / update for the projects as well as for the Target tenders etc.,
Working Closely with the selected suppliers and managing the companies' procurement
Leading the purchasing department and motivating staff to achieve maximum performance and efficiency. Making sure that the procurement department works within company operational procedures.
Placing order on time, aligning supply / demand, Replenishing materials and constantly evaluating suppliers Performance.
Monitoring delivery times to ensure they are on time.
Ensuring the adequate supply of all required materials, components and equipment.
Managing and maintaining the supplier relationships for the company.
Helping to source alternative items for customers.
Receive quotations from suppliers / Sub- Contractors as per ISO standard.
Compare quotations and choose the best within purchasing budget / delivery.
Preparing high quality tender documentation.
Regularly contacting suppliers to renegotiate prices.
Resolving disputes and claims with vendors and suppliers.
Keeping all supplier programs current and accurate.
Entering the relevant data on SAP and ensuring no backlogs.
Developing and maintaining a unit rate database for all regularly used materials.
Assisting the Quantity Surveying team in evaluating quotes received from a rate and quantity perspective. Also highlighting any technical concerns for consideration prior to submitting the bids.
