Job Description

Receives materials request for import order and communicates to the concerned for finalizing the quantities to order. Obtains quotations from suppliers/service providers and prepares comparative analysis. Prepares/verifies purchase orders and forwards for approval. Follows up with suppliers and ensures compliance with P.O. terms and conditions and coordinates with supplier and agents to receive shipping documents on time. Prepares reports on orders placed/pending items/cancelled/ shortages and as required by Procurement Manager. Arranges insurance/ensures shipments are sufficiently insured and coordinates with the insurance company in this regard and with regard to the claims. Co-ordinate with shipping and clearing agents to receive material on time in the warehouse. Prepare reports for shipments expected during the week and the estimated duty payment to customers. Verifies supplier's invoices with materials received notes/our P.O. and forwards to accounts department duly coordinating with Warehouse. Prepare discrepancy report and send to suppliers. Assists in selection of shipment lines/modes of transport and optimization of logistic costs. Assists the accounts department in reconciling supplier accounts and follow-up on statements/credit notes. Assists the sales team in preparing quotations by providing accurate costs. Participates in periodical physical stock taking. Maintains database, file records of the procurement department.
