Personal Assistant
to support our chairman in day-to-day operations. This role is critical in ensuring that the Chairman's schedule and priorities are managed effectively, helping the organization run smoothly.
Job Summary:
The
Personal Assistant to the Chairman
will provide comprehensive administrative support to the Chairman, ensuring efficient time management, handling confidential matters, and assisting with various tasks, both professional and personal. This is a high-responsibility role requiring exceptional organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.
Key Responsibilities:
Calendar & Schedule Management:
Manage the Chairman's daily calendar, scheduling meetings, appointments, and events. Ensure all time-sensitive commitments are prioritized effectively.
Travel Coordination:
Organize domestic and international travel arrangements, including flights, accommodations, transportation, and itineraries. Ensure all travel logistics are smooth and efficient.
Communication Management:
Screen phone calls, emails, and other communications, ensuring important matters are prioritized and responded to promptly.
Meeting Preparation & Support:
Prepare materials and agendas for meetings, take notes, and follow up on action items. Ensure all meetings run smoothly and efficiently.
Document Management:
Draft and proofread correspondence, reports, presentations, and other documents. Handle confidential documents with discretion and professionalism.
Event Planning:
Assist in planning and organizing events, both professional and personal, including conferences, board meetings, client events, and social gatherings.
Research & Reporting:
Conduct research as needed for various projects, including compiling reports, statistics, and background information.
Personal Assistance:
Provide personal support as needed, including managing the Chairman's personal appointments, errands, and other related tasks.
Liaison Role:
Act as a liaison between the Chairman and key stakeholders, including employees, clients, and external partners. Represent the Chairman's interests professionally and diplomatically.
Key Requirements:
Proven experience as a Personal Assistant or Executive Assistant, preferably supporting senior leadership.
Exceptional organizational skills with the ability to multitask and prioritize effectively in a fast-paced environment.
Strong communication skills, both verbal and written, with a high level of professionalism and discretion.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management software.
Ability to maintain confidentiality and handle sensitive information with the utmost discretion.
Excellent time management skills and the ability to manage competing priorities.
A proactive and can-do attitude, with the ability to anticipate the needs of the Chairman.
Strong attention to detail and the ability to maintain high standards of work.
Flexibility to adapt to changing requirements and work hours as needed.
A positive and professional demeanor with excellent interpersonal skills.
