We are looking for an experienced and professional Personal Assistant to the President of the Company. It is busy role with great carrier opportunities for mid career professionals to enhance interpersonal REQUIRED QUALIFICATIONS AND SKILLS:
  • Bachelor Degree or Masters graduate in Finance [MBA Degree would be an advantage];
  • We consider only the candidates based in UAE (Dubai preferably)
  • +3 years\xe2\x80\x99 experience in assistance to Senior Management level;
  • Advanced level of Business English proficiency;
  • Good time management, organizational and presentation skills;
  • Proficient in using MS office applications, EMS or ERP.
KEY DUTIES AND RESPONSIBILITIES:
  • Handling electronic mails - read, comprehend and sort emails which need immediate attention and response.
  • Sorting emails in coordination with Founder/Chairman of the Board; taking dictation if necessary and respond electronically as per his advice.
  • Coordination and/or report all office-related issues to Founder/Chairman of the Board.
  • Delegating task / giving instructions to HODs and employees on behalf of the Founder/Chairman of the Board. (via email or verbally).
  • Receiving/Accommodating Founder\xe2\x80\x99s guests/VIPs and/or visitors at all levels.
  • Drafting general correspondence, hand over for review and do corrections/revisions accordingly.
  • Handling and screening incoming calls for the Founder/Chairman of the Board (mobile and land line).
  • Attending incoming internal calls (Chairman\'s office).
  • Attending and responding to queries of HODs and employees (via internal calls or email).
  • Coordinating HR and Accounts related issues to Founder/Chairman of the Board such as approvals for air tickets and hotel reservations and other relevant office issues.
  • Handling petty cash fund (Chairman\'s Office) liquidation and monitor daily balance.
  • Keeping the Founder\xe2\x80\x99s diary schedule - business and personal meetings i.e. medical, bank meetings, etc.
  • Taking/receiving instructions from Founder/Chairman of the Board regarding his personal matters (home, banks, medical and others).
  • Bringing Up Updating File and Follow Up.
  • Constantly updating of data base in order to maintain knowledge of all corporate & personal contacts (all contact information for the Founder/Chairman of the Board - business & personal).
  • Indexing/Arranging of files and documents in order for easy identification and traceability Travel Plan Arrangement for Founder/Chairman of the Board (air ticket and hotel reservations and arrangement of meeting schedules abroad delegate this task if necessary).
  • Attending internal meetings; record Minutes of the Meeting, transcribe and submit for review.
  • Initiating corrective action when required.
  • Preparing Job Offers and EC specifically for sensitive and confidential post.
  • Receiving general task assignment from Business Excellence & Centralized Service Director and executing accordingly.
  • Representing Top Management during absence within the delegated capacity.
  • Issuing corrective actions once identified and approved.
  • Issuing official correspondence on behalf of the Founder/Chairman of the Board when necessary.
