Position Overview

Key Responsibilities

  • Provide professional, friendly, and engaging support to colleagues and visitors
  • Support day-to-day operations of the People and Culture department
  • Manage document flow, obtain required approvals, and ensure policy compliance
  • Handle telephone calls and in-person inquiries, schedule appointments as needed
  • Perform office administration tasks including correspondence, mail handling, copying, and supplies ordering
  • Maintain confidential filing systems for policies, standards, and official correspondence
  • Monitor and maintain female locker inventory and hygiene standards, coordinating pest control with Housekeeping
  • Support exit processes including checklists, clearances, interviews, and resignations
  • Coordinate timely posting of colleague event content on internal communication channels
  • Process colleague letter requests including salary, employment, and experience certificates
  • Manage birthday calendar communications to colleagues
  • Track office supplies inventory and place orders as required
  • Assist and lead colleague engagement activities and events throughout the year
  • Support recognition initiatives including weddings, birthdays, and newborn celebrations
  • Follow up on pending payments and open LPOs, submit debit and credit notes, and maintain trackers with updates to Finance
  • Support onboarding processes for new colleagues in coordination with Recruitment
  • Schedule and manage Training Room logistics for departmental training needs
  • Update training trackers, create materials, and follow up on attendance to ensure compliance
  • Support recognition programs and voting processes ensuring fairness and timely communication
  • Assist with intern recruitment, onboarding, and offboarding processes
  • Maintain accurate records of internal and external training hours and reporting
  • Support preparation of training materials, presentations, and e-learning content
Ideal Profile
  • Previous experience in administration or People and Culture functions
  • Proficient in Microsoft Windows applications; knowledge of Oasys is an advantage
  • University or college degree in a related discipline preferred
  • Excellent communication, organization, and interpersonal skills
  • Strong ethics with a high level of confidentiality and reliability
  • Flexible, empathetic, and able to work collaboratively within a team
  • Calm, courteous, and attentive to colleague needs
  • Willingness to support events or activities outside regular hours when required
