The Order Coordinator is responsible for managing and coordinating all customer cake orders from start to finish. This role ensures that every order is accurately recorded, prepared on time, and delivered according to customer specifications. The ideal candidate will have excellent communication and organizational skills, a customer-service mindset, and experience working in a bakery, food service, or retail environment.

Key Responsibilities

Receive and confirm all incoming cake orders (via phone, WhatsApp, email, or in-store). Record order details accurately including size, design, flavor, message, and delivery/pick-up time. Coordinate daily schedules with the baking and decorating teams to ensure smooth workflow. Communicate order changes or special requests clearly to kitchen and decoration staff. Schedule deliveries with the logistics team and follow up to ensure on-time dispatch. Maintain detailed records of all orders and update order status regularly. Handle customer inquiries and provide order updates or issue resolutions in a professional manner. Ensure all cakes meet company quality standards before release or delivery. Monitor stock of packaging, decorations, and other supplies related to order preparation. Prepare daily and weekly reports on order volume, delivery performance, and customer feedback.

Qualifications & Skills

High school diploma or equivalent (Bachelor's degree preferred). 1-3 years' experience in order coordination, customer service, or food & beverage operations. Strong organizational and multitasking abilities. Excellent written and verbal communication skills in English (Arabic is an advantage). Computer literacy (MS Excel, Word, or order management software). Ability to work in a fast-paced environment and manage deadlines. Attention to detail and a commitment to customer satisfaction. Flexibility to work weekends, evenings, or holidays as needed.
