We are seeking an Operations Coordinator Intern to support daily rental operations and ensure a smooth customer journey from initial inquiry to vehicle handover. This role is well-suited for a student or recent graduate who is organized, detail-oriented, and eager to gain hands-on experience in operations and customer coordination.
Purpose of the Role
To ensure a seamless and efficient process from the customer's first message through to car handover by maintaining timely communication, clear process steps, and accurate documentation.
Key Responsibilities
Respond promptly and professionally to customer messages and inquiries
Guide customers through required steps and documentation
Request, verify, and follow up on customer documents
Create, update, and maintain accurate bookings in internal systems
Prepare detailed handover notes for the delivery team and confirm handovers
Process extension and cancellation requests in line with approval guidelines
Share timely status updates during peak periods and assist with backlog management
Maintain accurate records and ensure compliance with data privacy policies
Cross-Functional Collaboration
Coordinate with Customer Service and Digital teams on messaging and ownership
Liaise with Reservations and Sales teams to confirm booking and document status
Work closely with Delivery and Collection teams to align on vehicle readiness and schedules
Support the Extensions team with processing and daily status updates
Coordinate with Finance on deposits, fees, and refunds
Report system issues to IT and follow backup procedures
Communicate updates with platform and aggregator partners regarding documentation or timing changes
Requirements
Clear and professional written communication in English; Arabic is an advantage
Calm, polite, and professional phone manner
Strong attention to detail and ability to follow defined processes and checklists
Basic proficiency in Google Sheets, Google Docs, or similar tools
Willingness to work rotational shifts, weekends, and a six-day work week
Student or recent graduate; prior operations or customer service experience is a plus
Additional Information
