Oversee daily office operations to ensure a professional working environment.
Supervise administrative staff, reception, and support teams.
Manage office facilities, supplies, vendors, and service providers.
Maintain filing systems, records, and documentation (digital and physical).
Ensure compliance with RAKEZ/UAE regulatory requirements (visas, WPS, MOHRE, etc.).
Assist in budget preparation for office operations and track expenses.
Organize company-wide events, staff meetings, and employee engagement activities.
Executive Assistant Duties
Manage the CEO's calendar, scheduling, and prioritization of meetings.
Organize board and executive meetings, prepare agendas, take minutes, and track action items.
Draft, review, and manage confidential correspondence, reports, and presentations.
Handle travel arrangements (flights, visas, hotels, transport) and prepare itineraries.
Act as a point of contact for stakeholders, ensuring timely communication.
Remind the CEO of important deadlines, follow-ups, and deliverables.
Qualifications & Skills:
Bachelor's degree in Business Administration, Management, or related field.
5-7 years of experience
in administration, office management, or executive assistant role.
Proven ability to support C-level executives.
Excellent communication skills in
English
(Arabic / Russian is an advantage).
Strong leadership and people management skills.
Proficiency in
MS Office Suite (Word, Excel, PowerPoint, Outlook)
and scheduling tools.
Highly organized, detail-oriented, and able to handle multiple priorities.
Strong discretion and ability to handle sensitive/confidential information.
