dynamic, and highly organized Office Manager & Manager Assistant to support in day-to-day operations.
This role combines manager-level assistance with accounting documentation collection, procurement communication, and general office management.
The ideal candidate will be proactive, detail-oriented, and capable of managing multiple responsibilities, acting as the right hand of the manager while ensuring smooth office workflows.
Key Responsibilities:
Prepare and edit correspondence, reports, meeting notes.
Follow up on tasks delegated by management and ensure timely completion.
Maintain project folders and documentation (digital and hard copies).
Coordinate between departments, suppliers, and contractors for project needs.
Schedule site visits, project meetings, and compile follow-up reports.
Prepare and send requests for quotations (RFQs) to suppliers.
Collect and organize quotations, and prepare price comparison sheets.
Assist with vendor communication, purchase orders, and basic contract coordination.
Keep logs of procurement activities and maintain supplier database.
Manage office filing systems, supplies, and general upkeep.
Support onboarding of new staff and help maintain company administrative policies.
Coordinate internal meetings
Requirements & Qualifications:
Proven experience as an Executive Assistant, Office Manager, or Project Coordinator.
Strong organizational and multitasking skills.
Excellent written and verbal communication skills in English and Russian.
Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint);
Discretion, reliability, and a high level of professionalism.
Ability to work independently and handle multiple priorities in a fast-paced environment.
